This guide covers resumes for private-sector jobs in India, including campus applications, first jobs, and experienced roles. You will find three free editable templates, a worked example, and a checklist you can use before submitting. If an employer, government recruitment notice, or academic application prescribes a format, follow those instructions first.
A template gives you a structure. Your examples have to show why you fit the job.
What makes a resume ATS-friendly?
An applicant tracking system, or ATS, helps an employer manage applications. Some of that process is resume parsing: extracting details from a document into fields such as a candidate’s name, organization, and contact information.
An ATS-friendly resume makes those details easy to identify and gives the hiring team clear evidence that you fit the role. Several different processes can sit behind an application portal:
| Process | What happens | What you can do |
|---|---|---|
| Parsing | Information is extracted from the uploaded document. | Use readable text and check the fields the portal fills. |
| Search or matching | Recruiters or software compare candidate information with job criteria. | Use appropriate terminology and explain where you used each skill. |
| Application screening | Application questions may activate rules established by the employer. | Answer questions about eligibility and availability honestly. |
| Hiring review | The employer evaluates candidates within its selection process. | Make your relevant work, projects, and qualifications easy to assess. |
These processes vary by employer and product.
There is no universal candidate-facing ATS pass score. A result of 80, 90, or 100 from a third-party checker reflects that tool’s method. It is useful only if its feedback helps you fix a real issue.
Free ATS resume templates
Choose the version that fits the evidence you have today. All three downloads are editable Word documents made from ordinary text, with a single column and conventional headings. There is no payment or account requirement for these files.
| Template | Best starting point for | Download |
|---|---|---|
| Fresher | Students and graduates whose strongest evidence comes from education, projects, or internships. | Download template |
| Experienced | Applicants with a relevant employment history and specific contributions to describe. | Download template |
| Career change | Applicants moving into a new field who need to connect transferable skills with recent evidence. | Download template |
For freshers, let projects do useful work
If you have no full-time experience, lead with education, relevant skills, and projects. Include internships, volunteering, freelance assignments, or substantial college responsibilities when they support the job you want.
A personal project belongs under Projects. An internship belongs under Internship Experience. Give each one its real context. Calling a course exercise a client engagement creates a problem you will have to explain later.
For experienced applicants, show recent contributions first
List jobs from most recent to oldest. Leave room to detail responsibilities and outcomes for your most recent, relevant roles, and cut older or less relevant work. Education can usually follow experience once your employment history provides the stronger evidence.
For a career change, keep the employment timeline visible
Use a short summary to explain the direction of the move. Put relevant skills and a recent project near the top, then retain a dated employment history. A reader should be able to see both what you bring to the new field and what you have actually done.
Choose a format that is easy to read and edit
Start with one column. Keep your name and contact details in the main document body, and avoid building the resume out of text boxes. Some practical formatting defaults:
| Element | Recommended starting point |
|---|---|
| Layout | One column with an obvious vertical reading order. |
| Body text | Normal font, such as Arial or Calibri, 11 or 12 points. |
| Titles | Work Experience, Education, Projects, and Skills as headings. |
| Dates | One format, for example, Jun 2024 – Sep 2026. |
| Bullets | Ordinary text bullets with one clear contribution per bullet. |
| Contact details | Readable text in the main body, including a working email and phone number. |
| Links | A readable portfolio or profile address, with a working hyperlink. |
| Length | Start with one page for a fresher. Use a second page when relevant experience needs it. |
These are editing recommendations, not machine-enforced font or page count rules. If the resume is crowded, cut repetition before shrinking the text. If the second page contains only a few lines, tighten the document or move a complete section.
Put your latest role first within work experience and your latest qualification first within education. The order of whole sections can change. A graduate’s strongest project may deserve space above an unrelated part-time job.

What to include in a resume for jobs?
For a general private-sector application, prioritize information that helps an employer contact you and assess your suitability. Keep administrative details for the application form when they are requested there.
| Detail | How to handle it |
|---|---|
| Location and phone | Use your city and state, plus a reachable number with +91 when appropriate. A complete residential address usually adds little to a general resume. |
| Degree and college | Write the qualification clearly, for example, Bachelor of Technology (BTech) in Computer Science. Include the institution and graduation date or expected graduation date. |
| CGPA or percentage | Use the original scale, such as 8.1/10. Include marks when requested or useful for an early-career application. Convert only with your institution’s official method. |
| Class 10 and 12 marks | Include them when campus placement rules or the employer asks. Otherwise, decide whether they add useful evidence at your career stage. |
| Notice period | Answer accurately where requested. Add it to the resume only when the application instructions or a specific availability requirement make it useful. |
| Current or expected CTC | Provide it in the designated form or discussion when requested. It does not need to occupy space in a general resume. |
| Languages | Include languages that matter to the work, with an honest description of proficiency. |
| Photo and personal details | Leave photos, date of birth, marital status, family details, religion, Aadhaar and PAN out of a general job search resume. Follow a prescribed application process separately where relevant. |
| Declaration and signature | Omit them from a general private-sector resume unless a specific application requires them. |
[Full name] [City, State] | +91 [phone number] | [professional email] [LinkedIn or portfolio address, if relevant]
Use the same name consistently across your resume and application. Check that a portfolio opens without a permission request and that it does not expose a former employer’s confidential work.
If a form asks whether you can join within 30 days, answer from your actual circumstances. Do not select an earlier joining date simply to improve your apparent match. Formatting and availability are separate issues.
Match the job description
Before editing your resume, figure out the primary responsibilities of the role, the key skills, and the critical qualifications. Then find the strongest truthful example for each requirement. This is more useful than collecting every repeated word in the advertisement.
Write basic SQL queries, clean spreadsheet data, and prepare weekly sales reports. Applicants should understand Excel PivotTables and explain their findings clearly. Academic projects are okay.
A fresher might map that description to their evidence like this:
| Requirement | Evidence the applicant has | Possible resume wording |
|---|---|---|
| Excel PivotTables | A college project comparing sales by product. | Created a PivotTable report in Excel to analyze monthly sales by product category. |
| SQL basics | A sample project that combines orders and customer records. | Merged orders and customer data for a sample retail data set. |
| Data cleaning | A documented process for duplicate and missing records. | Checked for duplicate and missing values before developing the analysis. |
| Explaining findings | A presentation to classmates and faculty. | Presented the findings and explained the dataset’s limitations to a faculty panel. |
These are illustrative examples. Use them only as a model for describing work you have actually done.
Place core skills in the Skills section and support the most important ones in a project or experience bullet. Where useful, introduce a full term and its abbreviation together, such as Search Engine Optimization (SEO). Keep product names accurate. Knowing Excel does not establish that you know Power BI.
If you lack a skill, decide whether it is essential before applying. An optional skill can remain absent. A required skill deserves an honest assessment of your fit and, where practical, a real learning project. Adding the word without the ability only postpones that conversation.
Keep your official job title accurate. If it is obscure, you can add a truthful functional explanation, such as “Process Associate (customer support)”. Do not rename a junior position as a management role to match the vacancy.
Write bullets that show what you did
A useful bullet names the action, gives enough context to understand the work, and shows the result or scope when you know it. You do not need to force a percentage into every line.
For every skill you add, be ready to point to where you used it.
Compare these fictional examples:
| Vague wording | More informative wording |
|---|---|
| Responsible for customer support. | Handled billing questions via email and chat and logged recurring issues for the product team. |
| Worked on a college website. | Created the event registration form for the college website and tested it on mobile and desktop screens. |
| Improved reporting efficiency. | Reduced preparation time for the weekly stock report from three hours to two by replacing manual lookups with an Excel template. |
The final example uses illustrative numbers. Use that kind of claim only when you can support the baseline, the result, and your contribution. Without a reliable time comparison, write what changed: “Created an Excel template that replaced manual lookups in the weekly stock report.”
A team result also needs context. Don’t claim you delivered the entire outcome yourself; say which part you owned. For confidential work, describe the task and an appropriate level of scope, not including private customer information or internal figures.
Employers want to see teamwork, problem solving, and communication on graduate resumes, says NACE’s Job Outlook 2026 Spring Update, which surveyed 185 employers. Its advice is to support those skills with examples. The research concerns US college recruitment. Source: NACE, April 2026

The example below shows how the parts fit together. The candidate, college, and work are fictional; replace them with your own details. The skill list stays close to the evidence in the project.

Projects
Retail sales reporting project
Jan 2026 – Mar 2026 | Academic project using a sample dataset
- Wrote SQL queries to group sales by category and compared the results with the Excel summary.
- Checked missing values and duplicate records, and recorded the cleaning decisions.
- Built an Excel PivotTable report to compare monthly sales by product category.
- Presented the findings and explained the limits of the sample data.
The resume gives an interviewer specific work to ask about. Add a relevant internship if you have one, and remove the summary if it only repeats the lines below it.
Fix the issue you can actually observe
| What you notice | Useful next step |
|---|---|
| The copied text jumps between unrelated sections. | Simplify the layout and export again. |
| The portal misses your contact details. | Put them in the main body as plain text and correct the editable application fields. |
| A checker says a skill is missing. | Compare it with the job description. Add it only if relevant and true. |
| Your resume reads like a list of duties. | Add a concrete example, scope, or supported outcome to the most relevant bullets. |
| Several well-matched applications get no response. | Review role fit, evidence, location, and application questions as well as the document. Silence alone does not identify a parsing fault. |
Do not hide keywords in white text, paste the entire job description into the file, or list skills you cannot discuss. Use the space to explain relevant work. Keep a copy of the version you submitted so you can prepare for an interview from the same information.

Frequently asked questions
Can a fresher make an ATS-friendly resume without work experience?
Yes. Use education, relevant projects, internships, and other genuine experience. Explain the problem you worked on, the tools you used, and what you produced. A small project you understand is more useful than a long skills list you cannot support.
Is PDF better than DOCX for an ATS resume?
Neither is universally better. Follow the requested format. When both are accepted, inspect the file you actually intend to submit. A text-based PDF can work, and a clear DOCX can work. The extension alone does not establish readability.
Can I use a Canva resume template?
You can use a design tool, but assess the particular layout and its final export. Choose clear text, a simple reading order, and minimal decoration. Check whether the design includes paid elements and whether the download you need is available. A gallery label does not test your completed resume.
What ATS score should I aim for?
Use a checker’s feedback to find particular problems, not as a passing mark for an employer. Consumer checkers and employer matching tools use their own criteria. Your practical goals are readable content, relevant evidence, and accurate application information.
Do I need to include a photograph, declaration, and date of birth in my Indian CV?
For a general private-sector job application, leave them out unless requested. Use the space for qualifications and work evidence. When a recruitment process provides its own form or instructions, follow that process.
How should I handle a career gap?
Dates must be correct. If you feel the need to explain a gap, a short factual line will suffice, for example, “Career break for family responsibilities, Jul 2024 – Feb 2025.” Include relevant learning or project work only if you did it. You do not need to add private personal details to fill space.
How many pages should my resume be?
Use the space your relevant evidence needs. One page is a sensible starting point for a fresher; two may suit an experienced applicant. Remove repetition and outdated detail before reducing readability. Follow any page limit the employer specifies.
Does an ATS-friendly resume guarantee an interview?
No. Readable formatting helps the employer understand your information. Qualifications, evidence, answers to application questions, and the employer’s selection decisions still matter. If an application is unsuccessful, the result alone does not tell you that formatting caused it.
